Records Management Training Courses

Eligibility


Corporate training and development courses offered by the NSARM, Advisory and Consulting Services, are available to all Nova Scotia public service employees, provided that the following criteria are met:

Applicants must be within the target audience for the course as defined by the course description ("Who Should Attend").
You must have completed any prerequisite training specified by the course description.
You must be an employee of one of the following:
- the provincial government
- a Crown corporation
- a non-profit, government-funded organization
- a municipality
- a district health authority
- a regional library board
- a school board

Applicants who do not meet the above criteria will not be registered.


Course Information


Records Management Fundamentals

This two-day course will provide you with an understanding of Records Management. Through a series of lectures, practical exercises, and demonstrations, you will learn how to implement and use policies, procedures, standards, and guidelines to effectively manage information and ensure legal, financial and operational requirements are met. Particular emphasis is given to understanding the Nova Scotia Government standard records classification and retention system, STAR/STOR.

- Learn how to use the STAR/STOR system and practice classification
- Understand how records retention schedules are used for managing the life-cycle of records
- Learn the processes, practices and systems used in records management

Note: Records Management Fundamentals is the updated and revised version of the former records management course, Understanding Records Management (RM 1, 2, 3).

The location for all sessions is the Akins Room, Nova Scotia Archives and Records Management, 6016 University Avenue, Halifax, NS.


Records Management Overview

This course presents an overview of records management principles and practices, as well as an introduction to the legislation mandating records management in government, the roles and responsibilities of government employees, and the standards and systems for managing records.

Contents:

Participants will learn about the authority and responsibilities for managing records, the systems and tools for managing records, and the STAR/STOR system of records life cycle management and classification.

Who should attend:

Suitable for IT staff and government program managers as well as those who have previously taken Records Management Fundamentals and need a refresher.

Records Management Fundamentals in the Regions

This two-day course provides an introduction to the principles and practices of Records Management. Through a series of lectures, practical exercises, and demonstrations, you will learn about the government's records management standards and procedures and how to effectively manage information and ensure compliance with legislative, financial and operational requirements. Particular emphasis is given to understanding and implementing the Government standard records classification and retention systems, STAR/STOR.

- Learn the components of a records management program
- Learn how to use the STAR/STOR system and practice classification
- Understand how records retention schedules are used for managing the life-cycle of records
- Learn the processes, practices and systems used in records management

STOR Development Workshop

This is a two day workshop. Day one is designed to provide you with an introduction to the theory and background of STOR (Standard for Operational Records) and function-based classification and retention schedules. Through lectures, exercises, and demonstrations you will learn the theoretical and practical aspects of STOR design and the steps and processes involved in designing and developing a records classification and retention schedule. Day two is designed to provide you with practical experience developing, writing, critiquing and amending components of STOR. You will gain experience and expertise that you can apply to the development of you department's STOR. We will be using the STOR development guidelines, examples of existing STORs, and sample primaries from workshop participants' STORs to develop and enhance your STOR development skills.

Contents:

You will learn - the theory behind function-based classification systems; how to conduct a functional analysis; how to design a function based classification system; how to select numbering schemes; how to determine and document the value, retention and final disposition of records; how to design an appropriate STOR structure and determine its components and contents; how to develop STOR primaries and secondaries; how to write primary and secondary scope notes; how to select numbering sequences; how to assess and critique an existing STOR; how to determine and document value, retention and final disposition of records; how to design an appropriate STOR structure and determine its components and contents.

Who should attend:

This workshop is intended for records/information management practitioners responsible for developing or amending STOR classification and retention schedules for government departments or agencies.

Note:

This course will be presented in the Akins Room of the Public Archives building, 6016 University Ave., Halifax, NS.


Registration Guidelines


If you are interested in registering for any of the Records Management courses, please follow the guidelines below:

1. Go to the LearnNet website and register online.
2. Approximately two weeks prior to the course date, the Registrar will send confirmation to all successful applicants. If you are not accepted, you will also receive notification.
3. You can opt out of a course up to two weeks before the course date. However, it is the responsibility of your department to find a substitute should you cancel within the two weeks prior to the course. If a substitute cannot be found, your department will be charged the full registration fee.
4. If the course you are registering for is full, you will be placed in the next available course. If you are unable to attend the next scheduled course your application will be discarded and you must submit a new course application.
5. Courses may be cancelled or rescheduled when circumstances warrant. Applicants will be notified of the changes as soon as possible.
